A practical guide to preparing, testing and launching your website assistant.

Installation

  1. In Websites, add your assistant name and the full address customers visit, including https://. New assistants start in private mode.
  2. Follow the setup checklist to add content and test privately. Your website address controls which source links are allowed.
  3. When you are ready, open Website settings → Publish. Switch to public mode, save, and copy the installation snippet to your website before the closing </body> tag.
  4. Open your website in a fresh browser session. Send a question and confirm that an answer arrives. Register any additional website address explicitly; a www address is not automatically the same as the bare domain.

Content preparation

  1. Open Content → Add a source. Start with a single help page or policy rather than importing your whole website.
  2. Choose a public page, a website crawl, pasted text or a readable document. PDF, DOCX, Markdown and plain text are supported; scanned pages need text conversion first.
  3. For a document or pasted text, enter its original page or document address on your registered website. This is the source link visitors can open.
  4. Select the website allowed to use the source. Sharing with other websites in your workspace is a separate choice. Wait for the source to show Ready before testing. Temporary originals are removed after successful preparation.

Test your assistant

  1. Open the private test from your website card. Ask a specific question answered in your prepared content.
  2. Read the full answer and open the source link. Check amounts, dates and conditions against the original.
  3. Ask an unrelated question and request human support. Confirm that the assistant handles uncertainty and that the request reaches the inbox.
  4. Check the chat on a phone as well as a desktop. Repeat these checks after changing important policies, sources or actions.

Human support

  1. Add the people who will handle requests in Team. Give each person the access they need.
  2. Review routing and business hours where enabled. Tell visitors what response time to expect; an open chat box does not mean a staff member is available.
  3. In the inbox, take over a conversation to pause AI replies. Review the conversation before responding.
  4. Test a visitor request and your staff reply. Contact details are voluntary for that request. Follow-up email depends on verification and mail configuration; replying to a notice by email is not a supported conversation channel.

Plans & usage

  1. Compare the included seats, monthly AI reply balance and tools on the pricing page. Displayed subscription prices are in USD.
  2. Open Billing to check the current plan, credit balance and activity. Human replies do not consume AI reply credits.
  3. Allow for both your expected customer volume and private testing. When AI credits are exhausted, automatic answers pause while visitors can still request help from your team.

Troubleshooting

The chat box does not appear

Check that the assistant is enabled and public, the snippet is installed once, and the website address matches the registered origin. Review browser content-blocking settings and any installation error.

The answer cannot find my content

Check that processing finished, the source is enabled, and this website is selected under Used by. Confirm that the source has an approved original-page address.

An answer is taking too long

Check the credit balance and conversation status. Human takeover pauses AI. If an error appears, keep the question and approximate time, then contact support; repeatedly resending can create duplicate requests.

A source link is missing or incorrect

Use the original page on your registered website. Private file paths and temporary upload links are not visitor-facing sources. Update the source address and test again.

Food and beverage, schools and small AI pilots

Restaurant enquiries: answer common questions from approved menus, opening hours, locations and booking guidance. Hand order changes, booking confirmations and special arrangements to staff. Website answers do not confirm reservations for you.

School enquiries: help families understand applications using public admissions information, calendars and FAQs, then hand individual cases to school staff. Keep student records and private cases out of public knowledge sources.

A small AI pilot: start with one website and a set of common questions. Use a private sandbox to check sources, language and human follow-up before choosing what to publish. Discuss rollout requirements and any system connections with iGears.

Questions before you start

Straight answers about sources, citations, handoff, installation, hosting and the iGears rollout option.

How does AskCore learn about my business?

Choose the website pages and documents that customers should use. AskCore prepares that content for answering questions. You decide which of your websites can use each source and can update or remove it later.

Where do the links in answers take customers?

Links take customers to the original pages and documents on your own approved websites. For an uploaded document, provide its public website link during setup. Documents without a suitable link must be published on your website before they can be used in customer answers.

What happens to files I upload?

Uploads are temporary copies used to prepare answers. After successful processing, the temporary files are removed. AskCore keeps the text and information needed to answer questions; your original downloadable documents stay on your own website.

Can I use one account for several websites?

Yes. Choose the content each website can use. Websites keep their content separate unless you deliberately share selected sources between them. Sharing is limited to websites in your own account and does not share customer conversations or account access.

What happens when AskCore cannot answer?

If the content you provided does not contain an answer, AskCore follows the human-handoff rules you set. The follow-up channel and process are confirmed during setup.

Can I add AskCore to an existing website?

Yes. AskCore can be added through a website chat box. The exact installation depends on your website platform and access arrangements; chat-box installation is included in the iGears 30-day implementation option.

How is AskCore different from an internal knowledge base?

AskCore is only for external customer enquiries, using public website content and files selected for customer-facing answers. Staff querying private internal documents is handled by the separate iGears Private On-prem AI on GenCMS solution, not AskCore.

Where is the data hosted?

The standard option is cloud hosting, with a Hong Kong data-centre option available through iGears. The actual arrangement depends on the selected plan and project requirements; see the Privacy Policy for personal-data handling information.

Does AskCore support Chinese?

Yes. You can use Chinese customer-facing content and Chinese source documents. Confirm the required languages during setup so the chat-box copy and sources match your customers.

How does AskCore work with iGears AI MVP 30 Days?

AskCore is available as the Website Customer Service Bot package within iGears AI MVP 30 Days. iGears helps organise content, install the chat box, set human-handoff rules and train your team; notifications are sent through MarketHK. The project has a fixed price, with scope and fees stated in the quotation.
